Classrooms
Classrooms organize students and preceptors for a clinical rotation—members, templates, schedule tracks, and progress toward hours, skills, and evaluations.
Overview
Admins and faculty open Classrooms from the main navigation and see the classrooms they manage. Preceptors see classrooms they belong to. Students also open Classrooms (their enrolled list only) to check progress and schedule.
Click a classroom to open its dashboard.
Create a classroom
- Click Add Classroom. A draft classroom opens for editing.
- On Details, set the name and optional description, location, skills template, clinical log template, and required hours.
- Optionally enable student or preceptor AI, and location verification (students enter a code when logging times).
- On Students and Preceptors, select existing people or invite new ones (including bulk import).
- On Schedule, define schedule tracks and date segments.
- Save with Update Classroom. Cancel on a brand-new classroom deletes the draft.
Members
- Add students and preceptors from the edit tabs, or from Users with bulk “add to classrooms.”
- Admins can also create users while editing a classroom; new accounts are invited by email.
- Use Transfer Students from the classroom actions menu to move people into other classrooms (for example at graduation).
Schedule tracks
Use tracks when one classroom has parallel schedules (for example morning vs afternoon, or two sites):
- Give each track a clear name.
- Per track, set one or more date segments with location/unit and weekly hours (plus date overrides for holidays).
- Assign each student and instructor to exactly one track when schedules exist.
- Export schedule info to Google, Outlook, or Apple Calendar from Schedule Info.
Classroom dashboard
Open any classroom to review progress and day-to-day activity. The list view already shows hours, skills, and evaluation progress so you can spot cohorts that need attention.
From the actions menu you can view the dashboard, edit, duplicate (admins), show a location verification code (if enabled), transfer students, or archive/unarchive.
Student Classrooms view
Students see only classrooms they are enrolled in. From there they can:
- Open their student dashboard for that classroom
- Compare personal progress to the class
- View schedule info for their track and export to a calendar
Archive and duplicate
- Archive hides a finished rotation from the default list without deleting history.
- Duplicate copies settings, members, and schedule into a new classroom (not logs, evaluations, or analytics)—useful for the next term.
Tips
- Name classrooms by term and rotation so the list stays scannable.
- Assign log and skills templates before students start documenting.
- Set schedule tracks early so calendar exports stay accurate.
- Archive completed classrooms so the active list stays short.
Troubleshooting
Cannot see a classroom
Preceptors only see classrooms they belong to. Check the archive filter if an older classroom is missing.
Students missing from the roster
Confirm they were selected on the Students tab and are not archived on Users.
Schedule will not save
End times must be after start times, segment dates must be valid, and members need a track when schedules exist.
Verification code issues
Confirm location verification is enabled, share the current code, and reset it if it may have leaked.
