Compliance
Compliance tracks required documents—vaccines, certifications, background checks, and custom items—for clinical readiness.
Overview
Students and preceptors manage their own compliance on Profile (header menu → Profile). There is no separate “My Compliance” item in the main sidebar; /my-compliance redirects to Profile.
Administrators review anyone’s documents from Users (compliance action / drawer) and configure requirement templates under Settings → Compliance.
Your compliance (Profile)
On Profile you will see overall status:
- Compliant — required items approved and current
- Not Compliant — something missing, pending, rejected, or expired
- Not Set — no requirements configured for you yet
For each requirement:
- Upload a PDF or image of the document.
- Set an expiration date when the item expires.
- Wait for admin review (or AI auto-decision if your institution enabled it).
- If rejected, read the reason, upload a corrected file, or appeal when AI auto-rejected and you believe the file is valid.
Document history keeps prior versions. Turn on personal compliance alerts from the gear on the compliance section if you want expiration reminders.
Never upload files that contain unrelated personal data beyond what the requirement needs.
AI verification
When enabled, HealthTasks analyzes uploads (document type, name match, obvious issues). Your institution may allow:
- AI auto-approval for high-confidence valid documents
- AI auto-rejection for high-confidence invalid documents (you can appeal)
Admins can always override AI decisions in the Users compliance drawer.
For administrators
Review from Users
- Open Users, find the person, and open compliance.
- Assign a requirement template if needed (standard or custom).
- Approve or reject items, set expirations, upload on someone’s behalf, and review AI recommendations.
- Use Approve all pending when a packet is clearly ready.
Templates in Settings
Under Settings → Compliance:
- Maintain the standard template and optional custom templates (for example by program).
- Enable or disable requirements per template; add custom requirement names as needed.
- Configure AI auto-approve / auto-reject toggles.
- Assign templates to people from Users (including bulk assign).
Notification rules for compliance digests live under Settings → Notifications.
Tips
- Upload well before clinical start dates.
- Use clear scans; make sure your name is visible when identity matters.
- Renew before expiration so status does not flip to not compliant mid-rotation.
- Admins: start with AI suggestions manually, then enable auto-actions once trust is high.
Troubleshooting
Cannot find My Compliance in the sidebar
Use Profile. Compliance lives there for your own documents.
Upload failed
Use a supported file type (PDF or common image formats) and try again on a stable connection.
Still Not Compliant after upload
The item may be pending review, rejected, or expired—check status and expiration on Profile.
Wrong requirements listed
Ask an admin to assign the correct compliance template on Users.
